    Boutique Studios vs. Big Box Gyms: The Key to Member Retention Is Feelings

    On my REX Roundtables trip, I had a workout at CycleBar Garden City, where I was reminded of something we often overlook in the business of fitness: it’s not just about the workout; it’s about the *feeling* you walk away with.

    Before the class started, the energy in the room was electric with cracking music that appealed to everyone in the room – not a minority.

    The instructor kicked off class with a simple but powerful gesture— a shout-out to two special members:

    • Michael was celebrating his birthday. Michael even had a helium balloon tied to his bike, and
    • Mary was reaching a milestone that blew my mind: her 1,500th class. As an aside – that number blew me away – just think about that for a moment. The dedication, the commitment… it’s pretty inspiring for everyone in the cycle studio!

    What really struck me was the way this studio celebrated them with a rousing cheer.

    It didn’t end as the class began. It was just beginning!

    As we wrapped up the warm-up, everyone in the class waved their towels over the their heads, cheering for Michael and Mary like they were family.

    During the class, I think I counted at least 4 times the instructor: Jamie, shouted them out for their achievements. Then at the end of the class, the staff brought in a cake and there was a heartfelt rendition of “Happy Birthday” sung by everyone in the studio!

    These weren’t just members working out—they were valued, like family.

    After the class, Jamie didn’t rush off and head to brunch with her friends – as many instructor do. She invited everyone to join in a group photo, with Michael and Mary holding personalised signs commemorating their special moments. The photo was then posted on Instagram. Further, Mary had a photo with Jamie and other staff as did Michael with that photo on Insta too plus a personal congratulatory message.

    Pretty cool – right?

    As I watched the class participants fist bump, high five and speak with both Mary & Michael, I realised something powerful: this wasn’t just a cycle class. It was a celebration of people, of milestones, and of community. Even as a non-member, I walked out of that studio with a full heart, moved by the love and connection that radiated from every corner of that studio.

    I felt like I had witnessed something truly special.

    Walking back to my hotel, it really hit me: big box gyms just don’t do this.

    Big box gyms are often so wrapped up in logistics and the ensuing excuses—too many members, too much going on – too many reasons why they can’t celebrate moments like this rather than finding a way.

    Here’s the truth: what CycleBar did wasn’t complicated. It wasn’t about budget or resources, it was about intention. They made a choice to go beyond the workout and create something meaningful for their members.

    This is the real difference between big box gyms and boutique studios. It’s not just about fitness, you could say it’s about humanising what we do. It’s about seeing the people who walk through your doors, celebrating their journeys, and making them feel like they’re part of something bigger.

    At the end of the day, people won’t remember the workout—they’ll remember how they felt. And today, I saw firsthand what it looks like when a fitness business gets it right.

  • Timetable Audits

    Timetable Audits

    Are you performing regular audits of your timetable?

    • Traffic light your Monthly occupancy scores (Green 70%+ Amber 36-69% Red 35% and under) 
    • Look for trends month  on month of repeated classes being in the red
    • Review these classes by doing class assessments
    • Talk to the members that attend these classes
    • Evaluate why these classes might be under performing  (Note sometimes it may be as simple as an off peak class) 

    Is there something you could change?

    •  Instructor upskill
    •  Change of instructor
    •  Regular instructor in that class slot
    •  Type of class format 
    •  Change of time 
    •  Is the timetable too saturated for number of members 

    Remember we want to get our average overall occupancy 70% an above, to do this we must pull up our average across the board 

    In saying this – we must also make sure not to be reactive. Monitor classes of three month periods, try not to be too reactive the moment a class falls into the red. 

    When making any changes to your timetable make sure to well inform your members and adhere to a set process. 

    If a class is under performing its often a good idea to let your members know that this has happened and that the class might potentially be changed, this gives your members a chance to “vote with their feet” and get back into that class should they wish to keep it on/the same.

    If you do go ahead and make changes:

    • Give your instructors at least two weeks notice of any changes
    • Communicate these changes with your members clearly across multiple channels

    Mystery Shop Your Own Studio’s Classes

    “Mystery shopping” your own classes isn’t a new idea or revolutionary. In my experience, it is necessary to be able to maintain a high quality of class delivery, excellence and experience in all aspects of your fitness business. It consistently gets moved to the bottom of the to do list for many business owners, so today I am going to give you some evidence as to why it should be a quarterly task – and an important one at that. 

    A mystery shop is a check in, a brand standards measurement and a qualitative assessment all in one. Fitness is a service based industry and many of the ‘deliverables’ we promise such as; improved strength, weight loss, feel better, etc; are not tangible (at least straight away). They may be vague feelings, or only visible if someone is paying close attention or consistently measuring. In the group exercise space, fitness results, gains or measurements are even harder to come by – so how do we ensure that our products (our classes) are delivering what we say they do?

    First thing to remember is that you can develop your own assessment that is relevant to your facility or the type of class you offer, or you can use templates. In our experience, we find the best assessment usually is just to attend a few classes. This is particularly important if you have not ever done an assessment, or it has been a long time between class visits. The reason for this is so you don’t all of a sudden alienate your instructors, make them incredibly nervous or make them feel threatened about their job. Introducing this practice into your facility can sometimes be delicate work, but it only strengthens your team and your class offerings in the long term. 

    So the first type of ‘mystery shop’ we have is the “Drop in” class assessment. Whenever you get time you head into a class and experience it from a member’s viewpoint. This is about your experience, how you felt, what you liked and what you didn’t. You may notice things about the instruction, but you are more concentrating on the class feeling as a whole. In this setting we don’t take notes during class, we remember what we can and we pay deep attention to the instructor, the class flow and your feelings. This gives you a very personal experience of the class and can understand your offering more from a members perspective. 

    You may not give any formal feedback to your instructor. Your debrief after class may include what you liked, what you didn’t like as much from your personal experience and how you feel. If you have never opened up a feedback channel with your instructors before, this is often a great way to start as it is less threatening and intimidating yet still extremely valuable. What you notice when you are in the heat of a class may be vastly different to what you notice just walking around your facility. 

    A “Formal” class assessment is exactly that. Where you would not participate in the class, but sit away from the action to take notes on the instructor, the flow of the class, how it is handled and other factors. Giving your instructors notice that you are conducting these assessments is important so there is clear communication, no resentment and they know that these assessments aid in their up-skilling. If you have never assessed a class before this is where it may be tricky to know what you are looking for and when. 

    A formal class assessment is what we use at Exercise to Experience to review the instructors presence, performance, interaction and direction. Instructing and coaching a class is a great skill and something we believe is vitally important to the retention of members in your business. It is also vitally important in levelling up the quality and standard of instruction across the entire industry and we believe strongly in this process. 

    Mystery shopping can also happen not only from the directors/managers in the business, but at every level and position. Using both types of assessment from different viewpoints and people across your business gives you a diverse range of feedback and creates a great culture of equality, sharing and helping each other. Letting your members see other staff participate in classes reinforces the benefits of attending classes regularly and creates a great open community. There are so many reasons to begin regularly attending your classes within your own facility. We highly encourage you to begin now!
